Why Does the Conference Charge Separately for Exhibitor Booth and Booth Attendees? The conference charges for an exhibitor booth and booth attendees separately for several reasons. Firstly, the booth rental fee only covers the rental of the space, table, chairs, waste basket, pipe and drape and divider, and company sign. Separating the booth rental from the cost of the booth attendees allows for more accurate accounting and ordering of necessary items. Secondly, the cost of the booth attendees is related to the head count for food and beverage costs charged by the hotel to MWCEA. By charging separately for booth attendees, MWCEA can ensure that they are not overcharged by the hotel for extra booth attendees that may or may not attend. Additionally, this separation allows exhibitors to have more flexibility in choosing the number of booth attendees they want to bring without having to pay for extra attendees they may not need. Overall, separating the costs of the booth rental and booth attendees allows for more accurate accounting and flexibility for both MWCEA and exhibitors.
No Exhibitor Booth Sharing. However, we are happy to assign exhibitor booths next to each other if requested.

Dietary: Special dietary requirements will be accommodated. Please give advanced (24 hours) notice.
Disabled: All hotels associated with the Conference comply with all ADA requirements to assist Conference attendees. Other services may be provided with advanced written notice (two weeks) to MWCEA.
Hotels: MWCEA has arranged special room rates at all hotels associated with the Conference for attendees who make reservations on or before August 15.
Event Admittance & Companions
We look forward to bringing the MWCEA community together on October 1-4, 2023, at the ASHORE RESORT & BEACH CLUB in Ocean City, MD. Only individuals registered and wearing their name badge may attend MWCEA events. Attendees must have the appropriate badge to attend the General Sessions, Educational Breakouts, Social Events, and to enter the Expo Hall. Only ONE Companion is allowed per registrant. Companions are identified as persons who accompany the registered individual to the social events for personal reasons and not someone with a professional interest in workers' compensation. Companion registration includes social events only and GUEST Badges that must be worn at all times. Companions will not be listed in the MWCEA Conference Attendee List or be allowed to attend the educational sessions or trade show.
Refund, Payment and Cancellation Policies
Refund Policy
No Refunds will be granted. Registration fees are transferrable.
Payment Policy
The acceptable methods of payment are checks, cashier's checks, money orders or credit card. All payments must be made by August 15, 2024 to be included in the MWCEA Annual Program Directory. All early bird fees must be paid prior to July 31, 2024 or will automatically increase to the regular attendee registration fee.
Cancellation Policy
All cancellations MUST be submitted in writing (emailed to info@mwcea.com). Telephone requests WILL NOT be honored. Paid registration (attendee or exhibitor) fees will be transferred or credited. The registrant will be held responsible for any unpaid registration fees, regardless if they do not attend the conference. Chargebacks to credit cards will result in $150 administrative fee plus any additional fees MWCEA incurs from this transaction. All fees must be paid prior to being able to register for the conference in the future.
Any cancellation credits must be used within the current or following conference year.
Print Deadline
Exhibitor and Registrant fees must be postmarked 8/1/2024 to guarantee placement in the printed MWCEA Conference Book.

Team Discount
4 individuals from the same company will receive discounted registration. EACH attendee needs a form. The first attendee pays full price; the discount applies only to additional attendees.

The MWCEA Annual Conference is designed to foster relationships and encourage the open exchange of ideas and information between all members of the workers' compensation community by sharing unique perspectives to make a positive impact on each other, the workers' compensation community and our world.
Affiliate Events
MWCEA PROHIBITS PARTICIPANTS FROM HOLDING AN EVENT OR PRIVATELY HOSTING CLIENTS DURING CONFERENCE EDUCATIONAL SESSIONS, EVENING SOCIAL EVENTS, AND TRADE SHOW HOURS. MWCEA attendees and registrants that violate this policy diminish the collaborative and inclusive environment and the integrity of our event. We ask that you not hold private gatherings outside the event hall during these conference hours and decline any invitations that violate this policy.
Cancellation Policy
Registrant substitutions may be made at any time with no penalty. Cancellations received in writing 30 days prior to the conference start will receive a refund minus an administrative fee of $250. Cancellations received after this date will not be refunded. No-show registrations will not be refunded. Please email any requests for refunds or substitutions to info@mwcea.com.
The MWCEA reserves the right to cancel the Annual Conference due to any other unforeseen circumstances. In case of cancelation, The MWCEA’s liability is limited to the refund of the registration fee only. The MWCEA reserves the right to alter this program without prior notice.
Transportation
Transcend Services, Inc. is offering a complimentary shuttle service from the overflow hotels to the host hotel. The shuttle runs every 15 minutes during the times indicated:
Monday 7:00 am to 4:00 pm
Tuesday 7:00 am to 4:00 pm
Wednesday 7:00 am to 1:00 pm
Other times can be requested.
Attire
Casual business attire is acceptable at all functions.
Badges
Conference issued badges will serve as admission to events and should be worn at all times.
Door Prizes and Awards
Door prizes / Awards will be drawn and presented on Wednesday morning following the last presentation. Names will be drawn from the business cards deposited with EXPO exhibitors and the "Passport to Prizes" deposited with the EXPO Coordinator in the appropriate locations. You must be present to win.
