Exhibitor Booths: Showcase your offerings! Booth prices vary based on location and include a table, 2 chairs, a booth sign, wastepaper basket, carpet, and pipe & drape. Note that booth attendees are not included in the booth price.
 

Exhibitor Booth Attendees: If you’re part of an exhibitor booth, make sure to register attendees to your registration separately.


No Exhibitor Booth Sharing. However, we are happy to assign exhibitor booths next to each other if requested.

Why Separate Charges for Exhibitor Booths and Booth Attendees at the MWCEA Conference?
The separate charges enhance transparency, optimize costs, and provide flexibility for both MWCEA and exhibitors.

  1. Clarity and Accuracy:

    • Booth Rental Fee: The fee covers essential physical elements—space, table, chairs, waste basket, pipe and drape, and company sign.

    • Booth Attendees: Separating this cost ensures accurate accounting and precise ordering of necessary items.

    • By distinguishing between the booth rental and attendee costs, MWCEA maintains transparency.

  2. Food and Beverage Costs:

    • Booth Attendees Cost: It directly relates to the head count for food and beverage services provided by the hotel.

    • Charging separately prevents overcharging by the hotel for extra booth attendees who may or may not attend meals.

    • MWCEA can manage costs effectively while ensuring attendees receive quality catering.

  3. Flexibility for Exhibitors:

    • Exhibitors can choose the number of booth attendees they need without unnecessary expenses.

    • This flexibility accommodates varying team sizes and business requirements.

  4. Accurate Accounting and Flexibility:

    • Separating booth rental and attendee costs streamlines financial tracking.

    • Both MWCEA and exhibitors benefit from precise accounting and adaptable attendance options.

EXHIBITOR BOOTH ASSIGNMENTS
The committee assigned booths based on the PRICE PAID, exhibitor requests and they tried to avoid direct competitors. IF...you feel the need to switch your booth with another COMPANY....WORK IT OUT between the two of you. Both exhibiting companies must agree to the switch. 

A New Floor Plan has been created in the 1st floor exhibit hall to create more flow for traffic accessibility. Let management know if you like this year's traffic patterns.


 

REFUND POLICY:  MWCEA offers a transfer of credit good for ONE YEAR or a transfer to another company or into another registrant's name.

PLATINUM EXHIBITOR BONUS BENEFITS

In addition to your standard exhibitor benefits, with Exhibitor Bonus Benefits, your booth will include the following. Please note: only four of these special opportunities exist and must be purchased in conjunction with an exhibitor booth.

  • Your company will receive a dedicated email blast to attendees within two weeks of the conference. This e-blast may include a logo, photo, live website link, booth number, and an article about your company or products (you provide content). This e-blast will go to two segmented lists and can be customized for each.  One will go to registered attendees, and the other will go to the entire MWCEA database and include an invitation to register for the event. The email will have a disclaimer that MWCEA is not endorse sponsored content and is not responsible for the messaging.

  • Your company will be included on the screen as a PLATINUM EXHIBITOR and included as part of a special thank you to our most prominent supporters in the opening remarks of the conference.

  • Your company will receive TWO dedicated social media posts before the conference (one in August and one in September. (Company must provide ART and a short amount of content for the social media post). The post must include a disclaimer that MWCEA is not responsible for the sponsored content messaging.

  • We will promote these two posts on Facebook/Instagram for $20 each and geofence attendees by exhibitor designated advertising parameters. 

  • You will receive the opportunity to pass out a handout or giveaway or include a handout in the conference bag.

  • You will have the opportunity to be onstage on Monday or Tuesday during the event raffles (at the beginning of the educational session or before the exhibitor break if you provide a prize).

  • Your logo and website on the screen during the drawing and you many introduce yourself and invite people to visit your booth number. Your time at the microphone will last no longer than one minute.

  • Your company may send a direct mail postcard or piece of collateral prior to the event to our database/or attendee list (you pay postage/printing).

  • You will receive a logo and a website link as a featured exhibitor in each monthly MWCEA e-Blast from the time you commit to the Platinum Exhibitor Bonus Benefit.

  • You will be listed on the MWCEA website as a Platinum Exhibitor.

  • Your company will receive a FULL-PAGE TAB AD in the MWCEA Conference printed program book. ($1,600 value)

  • Your company will receive an interactive ad in the digital meeting book with a link to your website.

  • Your logo and website will be included as part of the Sponsor Carousel before the Educational Session event and between speakers.

  • Your company will have a featured position on the Passport to Prizes with a highlight of your tier status.

The section will have a disclaimer that MWCEA does not endorse sponsored content and is not responsible for the messaging.

  • Your company will receive a dedicated social media post before the conference in August. (Company must provide ART and a short content for the social media post). The post must include a disclaimer that MWCEA is not responsible for the sponsored content messaging. We will place an ad on the Facebook/Instagram promoted for $10 and geofence the ad to people who like our page.

  • Your company will receive a logo and a website link as a featured exhibitor in each monthly MWCEA e-blast from the time you commit to the Gold Exhibitor Bonus Benefit.

  • Your company will receive a FULL-PAGE AD (a $1600 value) in the printed MWCEA Program Book. 

  • Your company may send a direct mail postcard or piece of collateral prior to the event to our database/or attendee list (you pay postage/printing).

  • You will have the opportunity to pass out a handout or put a giveaway item in the conference bag.

  • Your company will receive a listing and a website link in each monthly MWCEA e-blast from the time you commit to the Silver Exhibitor Bonus Benefit.

  • Your company will receive a FULL-PAGE AD (a $1400 value) in the printed MWCEA Program Book. 

  • Your company will receive an interactive ad in the digital meeting book with a live link to your website.
